Every Alaya trip is planned end-to-end, but getting to the trip, and being covered once you’re on it, is its own kind of logistics.

Flights

We track fares, watch for schedule changes, and book on your behalf so your arrival lines up with the rest of the group, or, for Reserve trips, whatever timing actually works for you.

  • Rebooking if a schedule changes before departure
  • Multi-city routing for travellers extending a trip on either end

Hotels & stays

Extra nights before or after a trip, a stopover city, or somewhere private for a Reserve itinerary, booked directly with properties we’ve stayed at ourselves wherever we can.

  • Pre- and post-trip accommodation
  • Stopover city recommendations and bookings
  • Room upgrades and special requests, communicated directly to the property
  • Private stays for Reserve and Retreats extensions

Travel insurance

Every Alaya trip requires cover, so we make getting it straightforward instead of something you sort out the night before you fly.

What we handle

  • Policy recommendations matched to your specific trip, including altitude and trekking cover for Expeditions
  • Side-by-side comparison of two or three providers
  • Claims guidance if something goes wrong while you’re with us
  • Reminders before your policy needs to be in place

How we charge

No mark-ups. A flat, honest fee.

We don’t mark up flights, hotels, or insurance premiums. You pay what the airline, property, or insurer charges. Concierge assistance is a flat service fee per booking category, waived entirely for Alaya Reserve travellers, since it’s already folded into the planning fee.

Concierge FAQs

Do I have to book a trip with Alaya to use this?

No. It’s most useful alongside a trip you’ve booked with us, but we can also help with insurance or flights for travel you’re doing entirely on your own.

Can you help with visas?

Not yet. For now we handle flights, hotels, and insurance only, though we’re happy to point you toward reliable visa services for your specific nationality and destination.

How far in advance should I ask for flight help?

As soon as your trip dates are close to fixed. Fares and seat availability only get more limited the longer you wait, especially for fixed-date Journeys and Expeditions.

Is the insurance you recommend the same for every trip?

No. An Expeditions policy needs cover for trekking and altitude that a Journeys or Retreats policy doesn’t. We match the recommendation to the specific trip.
